This Privacy Policy describes how Pawprint collects, uses and shares your personal data when you use our website (www.pawprint.eco). It also provides information on your rights regarding this data. 

We collect additional data when you use our carbon reduction tool via the website (www.app.pawprint.eco) or the mobile application. For the purposes of clarity, we ask users of our platform to agree to this application privacy policy separately when creating a Pawprint account.

Who we are

This website is operated by We Are Pawprint Limited (otherwise known as Pawprint). We are a company registered in Scotland with registration number SC630021.  

The information we collect about you

We collect, use, store and transfer different kinds of personal data about you. We have set out further details below.

Personal data provided to us, and generated by us when you enquire about or sign your organisation up for Pawprint:

  • Your name, role and contact details including email address, phone number and company name, as captured by our website contact form and following discussions with you
  • Communications with you in that capacity
  • Your signature when you sign a contract with us

Technical data we collect:

This includes your IP address, information about your browser, your time zone, location setting and your language preferences. Please see our cookie policy for further details about the technical data we collect.

Usage data we collect:

We automatically collect information about how and when you have accessed our website by using our servers and other technologies. Please see our cookie policy for further information.

We do not collect any special category personal data about you (this includes details about your race or ethnicity, religious or philosophical beliefs, sex life, sexual orientation, political opinions, trade union membership, information about your health, and genetic and biometric data). Nor do we collect any information about criminal convictions and offences. 

Personal data provided to us, and generated by us when you apply for employment:

  • Your name, address and other contact details
  • Your career history, normally contained in a CV
  • Employment references, interview notes and correspondence relating to your application

Personal data provided to us when you invest in Pawprint:

Periodically we offer opportunities to invest in our business. To date we have engaged the services of the investment management company Crowdcube to do this. During the fundraising activities Crowdcube is the Data Controller of all personal data they collect from potential investors.

Further information about their collection and processing of personal data is available at their website: https://www.crowdcube.com/.

Once fundraising activity has concluded, Crowdcube provides us with details of these new investments. This information will include some personal information, such as contact information for corporate investors, and details of investment as well as contact information for individual investors.

Recorded calls when you enquire about or sign your organisation up for Pawprint:

  • Which calls are recorded: with your consent, we sometimes record sales demo calls and customer calls with our primary business contacts
  • Why do we record these calls: we’re constantly aiming to deepen our understanding of our customers and their needs. By recording feedback provided in discussion with our team, we can better review and analyse insights to improve the quality of our product and services

Who do we share recordings with: recordings will be reviewed by our Product team internally and we’ll never share material with external parties without permission. Copies of recordings can be shared with you on request

Our data collection methods

  • Information you give us: through website contact forms
  • Automatic collection: we automatically collect technical and usage data. We collect this personal data by using cookies and server logs and other similar technologies. Please see our cookie policy for further details.
  • Data from third parties: we may also receive personal data about you from third party analytics providers (such as Google based in the USA) who collect technical and usage data in accordance with our cookie policy.
  • Combining data sources: we may combine personal data we collect about you from different sources. For example, if you fill out an enquiry form and are a registered user of our tool we may combine the data we have about you in order to resolve your query. 

How we use your personal data

We will only use your personal data where the law allows it. We have set out below a description of all the ways we plan to use your personal data, and which legal bases we rely on. We have also identified our legitimate interests for using your personal data where appropriate.

We may process your personal data for more than one legal basis depending on the specific purpose for which we are using your data. We will only use your personal data for the purposes for which we collected it, unless we reasonably consider that we need to use it for a reason compatible with the original purpose. If we decide to use your personal data for another purpose, we will update this Privacy Policy and our users. If you wish to get an explanation as to how the processing for the new purpose is compatible with the original purpose, please contact us.

If we need to use your personal data for an unrelated purpose, we will notify you by updating this Privacy Policy and we will explain the legal basis which allows us to do so. 

Please note that we may process your personal data without your knowledge or consent, in compliance with the above rules, where this is required or permitted by law.

We may create and share anonymous insights with third parties.

We won’t ever sell your personal data to third parties. We may share insights containing anonymised / aggregated data with selected third parties. Anonymised / aggregated data could be derived from your personal data but is not considered personal data in law as this data will not directly or indirectly reveal your identity. We’ll do this only where it fits in with our mission - for example, to assist a council/local authority to investigate where to route a new cycle lane or bus route, to help a commercial organisation to develop a new low carbon product or, where you have signed up as part of our service, to help a business (including your employer / organisation) to understand the carbon footprint of the business and how it could be more climate-friendly in its policies / activities.

  • Our website and tool are not intended for – and we don’t direct them at – anyone under 13
  • We don’t knowingly collect data from anyone under 13

Who we share your data with

We may share your data with the following third-party service providers for the purposes set out in the section How We Use Your Personal Data.

  • Customer service provider(s). Currently this is Intercom located in the USA but may change in the future.
  • Marketing e-mail provider(s). Currently, this is HubSpot located in the USA but this may change in the future.
  • Hosting services providers. Currently we use the following providers however these may change in the future: 

    - Webflow located in the USA provides us with website hosting services; and

    - Personio located in Germany provides us with recruitment and employment system hosting services

We may also share data with law enforcement agencies, public authorities or government bodies as required by law.

We will also disclose your personal data to prospective sellers or buyers and new owners:

  • If we sell or buy any business or assets, in which case we will disclose your data to the prospective seller or buyer of such business or assets. New owners may use your personal data in the same way as set out in this Privacy Policy.
  • If we buy, sell, are acquired by, merge or partner with other businesses, or sell some or all of our assets. New owners may use your personal data in the same way as set out in this Privacy Policy.

International transfers

Some of our third party service providers are based outside the UK and the European Economic Area (EEA) so their processing of your personal data will involve a transfer of data outside the UK and the EEA.

Where we transfer your personal data in the above situation we shall ensure that appropriate safeguards are put in place to ensure that the transfer of your personal data complies with the current applicable data protection legislation.

How long we keep your data

We retain data for as long as necessary: 

  • to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, regulatory, tax, accounting or reporting requirements; and
  • if relevant, to compile a case / defence if needed for disputes/legal action.

To determine the appropriate retention period for personal data, we consider the amount, nature and sensitivity of the personal data, the potential risk of harm from unauthorised use or disclosure of your personal data, the purposes for which we process your personal data and whether we can achieve those purposes through other means, and the applicable legal, regulatory, tax, accounting or other requirements.

We may retain anonymised / aggregated data which we can use indefinitely.

How we will notify you of changes to this policy

We may update/change this Privacy Policy every so often. When we do, we will revise the Date of Last Amendment. 

We recommend you check this Privacy Policy every time you visit our website. We may publicise on our website that our Privacy Policy has changed (e.g. a statement on our home page or by using a push notification). We will also notify changes to you by email (provided we have your email address).

Upon receipt of the updated policy, if you no longer want us to process your data, please contact us on hello@pawprint.eco and request that we delete your data. We will delete your data in accordance with the section How Long We Keep Your Data.

It is important that the personal data we hold about you is accurate and current. Please keep us informed if your personal data changes during your relationship with us.

Third party links

Our website and the tool may include links to third-party websites, plug-ins and applications. Clicking on those links or enabling those connections may allow third parties to collect or share data about you. We do not control these third-party websites and are not responsible for their privacy statements. When you leave our website or the application, we encourage you to read the privacy policy of every website you visit.

Your rights

Under certain circumstances, you may have the following rights under data protection laws in relation to your personal data:

  • The right to request access to, correction or deletion/erasure of your personal data.
     
  • The right to request the transfer of your personal data to you or a third party.
  • Where we are relying on a legitimate interest, you may object to the processing of your personal data and there is something about your particular situation which makes you want to object. 
  • You also have the right to object to us processing your personal data for direct marketing purposes.
  • The right to request restriction of processing of your personal data. 
  • Where we are relying on consent to process your personal data, you have the right to withdraw consent at any time.
